View emails and meetings
See where your synced emails and meetings appear in Attio.
After you sync your email and calendar with Attio, you can view emails and meetings on your records. This article explains how emails and meetings appear, how they link to records, and how to interact with them.

How emails sync into Attio
Attio can sync emails from Gmail and Microsoft 365. When you sync an email account, Attio imports your email history and stays updated with new messages. If you prefer not to sync your email, you can also forward individual emails into Attio. To learn more, see Sync your email and calendar and Email forwarding.

Email drafts in Attio
Drafts created in Gmail or Microsoft 365 do not sync to Attio. Drafts you created directly in Attio are available from Emails in the sidebar.
View emails in Attio
Emails that sync to Attio, are forwarded into Attio, or are sent from Attio appear on person and company records when they meet the matching rules below.
Where to view emails in Attio
Attio does not have a traditional inbox page or sent folder. You can view emails with the following steps:
Open a person or company record page from workspace search or by selecting the record in any view.
Click the Emails tab.
How Attio links emails to records
Attio links emails to records based on the participants on the email.
For person records: An email appears when a participant’s email address matches an email address on the record.
For company records: An email appears when a participant’s email address has a domain that matches the domain listed on the company record.
Note: Emails from people who are listed in a company’s Team attribute may not appear on the company record if their email domain does not match the company domain.
Additional rules apply to both person and company records:
Emails do not appear when any participant is blocklisted.
Emails do not appear when a participant is added as a protected recipient.
Removing an email address or domain from a record removes the emails associated with it. Adding the address or domain again restores the emails.
Email summaries and labels
On the Plus, Pro, and Enterprise plans, Attio automatically provides short summaries of your emails and adds labels that describe the content. You must have full access to an email to see a summary or label.

Note: Attio may not always provide a summary or label, for example if the email is very short or there is not sufficient context.
How meetings are created in Attio
When you sync your calendar, Attio imports calendar events from Google Calendar or Outlook. Each non-private calendar event creates a meeting in Attio. You can also add meetings manually.

View meetings in Attio
Meetings created from synced calendar events and meetings created manually appear on person and company records when they meet the matching rules below.
Where to view meetings in Attio
Meetings can be viewed in Attio on person and company record pages, call recordings, and within Quick actions.
View meetings on record pages
Open a person or company record page either from the workspace search or by clicking their name in any view.
Click the Activity tab.
View the meeting connected to a call recording
Open a call recording from the Calls page or from the Calls tab of a record page.
Click the Meetings tab to view meeting details or update linked records.
View upcoming meetings with Quick actions
Open Quick actions with cmd or ctrl + k.
Click View upcoming meetings.
You will see all your meetings for today and tomorrow, including details such as the date and time, video conferencing link, call recording status, and participants.
How meetings are linked to records
Meetings connected to synced calendar events are connected to records automatically, and all meetings can be linked to records manually.
Meetings created from calendar events
Attio links meetings created from calendar events based on the participants on the event.
For person records: A meeting appears when a participant’s email address matches an email address on the record.
For company records: A meeting appears when a participant’s email address has a domain that matches the company domain.

Calendar events marked private in your Google or Outlook Calendar do not show in Attio.
Meetings do not appear when any participant is blocklisted.
Meetings do not appear when a participant is added as a protected recipient.

Manually link records to meetings
You can link additional records to any meeting, whether it was created manually or from a calendar event. The meeting will show on all linked records.
Click the + next to Linked records to add records.
Hover over a linked record and click the x to remove it.
How meetings are linked to call recordings
Customers on Pro and Enterprise plans can record video calls for calendar event meetings that have synced into Attio. Every call recording is linked to the meeting created from the corresponding calendar event. Call recordings cannot exist independently from meetings.
You can open the Meetings tab while viewing a call to see the meeting details, and you can view the call recording from the meeting.
