Overview

This template ensures you fill out the Estimated Contract Value and Projected Close Date for your deals. By sending automated reminders for this task, you will have the data you need to track the performance and progress of your sales strategies.

Prerequisites

We have put together a list of prerequisites that are recommended for this workflow. This will be different depending on your usage, but you can use it for reference.

  • A Sales processes list that includes:

    • Meeting status attribute

    • Proposal status attribute

How to use this template

Once opened, you will see a series of connecting blocks.

  1. The Attribute Updated block is the first step to this workflow. This block will be activated every time you update the status attribute of your deals in your Sales list. To make sure this workflow runs properly, we will need to specify the list for Sales and the status attribute used to track a deal’s progress. In most use cases, the list would be Sales, and the attribute would be Stage.

  2. The Delay block allows you to assign an amount of time for the deal Owner to add an Estimated Contract Value and/or a Projected Close Date.

  3. The If/Else block will branch your workflow into two options, based on whether your attribute fulfills the filters set in this block. Assuming you have two separate stages for when you need to fill out your customer’s ECV and PCD, this block checks which stage your deal is moved to. In our case, we decided that an ECV should only be filled out when the deal is in the Meeting stage, but this can be anything that works for you. To set this If/Else filter correctly, we will thus set the new stage value as Meeting, and ECV as [empty].

4.1. If the filter was true

i.) The workflow will branch off to a Create Task block, where you can automatically assign a task to the Owner of the deal that prompts them to fill out an ECV. You can set up the task by giving it a name, due date, linked record (your parent record - the deal that had moved in stages), and an assignee.

4.2. If the filter was false

i.) A Filter block will be triggered. This is to check if your deal has been moved to the stage that needs a Projected Close Date set. In our instance, we decided that a PCD should only be filled out when a deal is in the Proposal stage, but it is adjustable to your use. To set this filter correctly, we will set the new stage value as Proposal, and PCD as [empty]. Any deal that has been moved to this designated stage will then activate the next block.

ii.) If the deal satisfies the previous filter, the Create Task block will then be triggered, allowing you to assign a task to the Owner of the deal that prompts them to fill out a PCD. You can set up the task by giving it a name, due date, linked record ({Parent Record}), and an assignee.
