# View and manage member accounts

View member accounts and manage retained data.

> Available on plus, pro, enterprise plans.
>
> **Admins** can view synced accounts and manage retained data.

Workspace admins can view connected accounts for any member. For suspended members whose email data has been retained, admins can also manage their mailboxes directly from that member's page in **Workspace settings**. Admins cannot control email sharing settings for active members' mailboxes. Active members [manage their own sharing settings](https://attio.com/help/reference/email-calendar/sharing-emails).

### **View synced email and storage accounts**

Admins can see connected accounts for each member:

1. Click your workspace name and select **Workspace settings**.
2. Go to **Members and teams**.
3. Click a member's name.
4. Under** Accounts**, you'll find details about synced mailboxes, sync dates, and statuses for active and suspended members. For active members, connected storage accounts are also shown here.

## **Manage retained data for a suspended member**

When you retain a suspended member's email and calendar data, admins can manage their mailboxes from that member's page in **Workspace settings**.

### **Update which mailboxes are retained**

To add or remove a mailbox from data retention after a member has been suspended:

1. Click your workspace name and select **Workspace settings**.
2. Go to **Members and teams**.
3. Click the suspended member's name.
4. Under **Accounts**, find the mailbox you want to update.

   - To retain a mailbox that wasn't originally selected, click **Retain email data** next to it.
   - To stop retaining a mailbox, click **Remove email data retention** next to it and confirm.

> **Note:** You can only retain mailboxes that match a [verified domain](https://attio.com/help/reference/workspace-settings-billing/security/verify-a-domain) on your workspace. Mailboxes that don't match a verified domain won't be available to retain.

### **Update the email access handler**

The email access handler is the active workspace member responsible for managing access requests to a suspended member's retained emails. To add an email access handler when one hasn’t been assigned yet, or to change who handles access requests:

1. Click your workspace name and select **Workspace settings**.
2. Go to **Members and teams**.
3. Click the suspended member's name.
4. Set the new email access handler:

   - To add an email access handler, click **Assign access approver** and select an active workspace member.
   - To change the person assigned, where it says **Email access requests handled by**, click **Change** and select a new active workspace member.

### **Update mailbox sharing settings**

Admins can update the default sharing setting for mailboxes retained from a suspended member. This does not apply to mailboxes belonging to active members, who [control their own sharing settings](https://attio.com/help/reference/email-calendar/sharing-emails).

1. Click your workspace name and select **Workspace settings**.
2. Go to **Members and teams**.
3. Click the suspended member's name.
4. Under **Accounts**, click a mailbox to open its settings.
5. Under **Email sharing**, select your preferred setting. Learn more about the [email sharing options](https://attio.com/help/reference/email-calendar/sharing-emails#set-default-email-sharing-setting).

> **Note:** Admin mailbox management is only available for mailboxes that match a [verified domain](https://attio.com/help/reference/workspace-settings-billing/security/verify-a-domain) on your workspace.

## FAQ

### What happens if the email access handler is suspended?

If a workspace member who handles email access requests for a suspended member is themselves suspended, you'll be prompted to assign a new handler before completing their suspension.

### What happens to retained email data if a suspended member is reactivated?

Retained mailbox data remains visible in Attio, and any emails that were shared while the member was suspended remain shared. Once the member is reactivated, their mailbox goes back to being a normal synced mailbox that they manage themselves, and admin retention controls no longer apply.
