# View and manage call recordings

Watch calls, understand AI insights, and manage recordings.

[Calls you have recorded with Attio](https://attio.com/help/reference/productivity-collaborating/call-recording/recording-calls-with-attio) can be accessed from three places in Attio:

- **Calls **page: Click **Calls** in the left-hand sidebar to view all call recordings from all workspace members.
- **Activity **tab on records: Navigate to a record that participated in the call and open the **Activity** tab to find the meeting that was recorded.
- **Calls** tab on records: Navigate to a record that participated in the call and open the **Calls** tab to find the recording.

> **Note:** All call recordings are visible to all workspace members.

## View a call recording

Select a call recording to watch the video recording, read the transcript, and use insight templates for AI summaries. You can also view a call recording while the meeting is ongoing, with the transcript and insights updating in real-time.

### View the transcript

While a call is being recorded, Attio generates a real-time transcript with speaker labels and timestamps. When watching a recorded call, click any line in the transcript to jump to that moment in the video. Use command/control+F to do a keyword search.

#### Copy a transcript

To copy the full transcript for a call, click the ⋮ icon in the top-right corner of the call page, then **Copy transcript**.

#### Share a section of a transcript

To share a link to a specific section of a transcript, click and drag your cursor to highlight the section you want to share, then click **Copy link to section**.

### View the speakers

For a breakdown of speaking time, go to the **Speakers** tab. You'll see a timeline of when each participant spoke, along with their total speaking time and percentage of the call. To listen to a specific speaker, click the triangle play button next to their name to activate **Focus Mode**, which plays only that speaker while skipping all others.

### Manage video playback options

The call recording video player has several playback options:

- **Play** or **pause** the video
- **Skip** back or forward 10 seconds
- **Mute** or adjust the volume level
- Adjust **playback speed** (0.75x, 1x, 1.25x, 1.5x, 1.75x, or 2x)
- **Minimize** **video** shrinks the video size, giving more space to view the transcript while still playing the video
- **Pop out** pins a small video player to the bottom of your screen, allowing you to navigate to other browser tabs, applications, or screens while still playing the video
- **Fullscreen** mode

- **Pin to screen** in the top right corner of the page keeps the video, transcript, and insights visible on the right-hand side of your screen while navigating to other pages in Attio

In addition to generating the transcript, Attio’s AI divides the video into chapters based on topics. Hover over the video’s seek bar to view these chapters.

### View the call summary and insights

When viewing a recorded call, the **Summary** in the top left will display an AI-generated summary paragraph of the meeting's key discussions.

To the right of **Insights**, select an [insight template](https://attio.com/help/reference/productivity-collaborating/call-recording/create-insight-templates-for-call-recordings) to apply to the call recording. The AI will follow the template’s prompts to generate and highlight insights from the meeting in the requested format.

> **Note:** The insight template you choose applies only to your view. Other workspace members can view the recording simultaneously and select different templates.

### Use Ask Attio with call recordings

You can use Ask Attio directly from a call recording to ask questions about what was discussed, get summaries, or take action based on the call.

Click **Ask Attio** in the top right of the call recording page to open Ask Attio with the call's context. Ask Attio will prioritize information from this specific call when answering your questions.

Example prompts:

- "Suggest next steps based on this call"
- "Suggest updates to the deal record based on this call"
- "What were the main objections in this call?"
- "Suggest follow-up tasks based on this call"
- "Draft a follow-up email to the participants"

### Manage the records linked to a call

By default, call recordings are automatically linked to the person records of participants on the call, and to company records based on their email domains, except when the domain is from a public email provider (such as gmail.com, outlook.com, or icloud.com). Automatic linking only applies to people and companies. Other record types, such as deals, can be added manually.

You can manually link or remove records from a call recording in two places:

1. When viewing a call recording, click the **Meetings** tab.
2. When viewing the **Activity** or **Calls** tab of a record page, click the meeting.

Then, click the **+ **by **Linked records** to add additional records, or click the **X** to the right of a linked record to remove it. The call will show on the **Activity** and **Calls** tabs for all linked records.

## Share a call recording

All Attio workspace members can view all calls recorded by Attio from record pages and the **Calls** page, but you can also share links to calls with team members or people outside your workspace. There are a few options for sharing Attio call recordings:

1. Copy and share a link to a call with a team member.
2. Share a call externally with people outside your workspace.
3. Email all call participants with the call summary, chapters, and link to the call.

### Share a call link with a team member

To share a call recording with a team member within your Attio workspace:

- Navigate to **Calls** from the main left-hand sidebar
- Search for and open the call.
- Click the ⋮ icon in the top right and then **Copy link** to copy the link and share it with your team member.

### Share a call recording externally

To share a call recording externally with someone who is not a member of your Attio workspace:

- Navigate to **Calls** from the main left-hand sidebar
- Search for and open the call.
- Click **Share** in the top-right corner.
- Where it says **External access**, change the option from **Not shared** to your preferred setting:

  - **Anyone with link**: Allows anyone to view the call if they have the link. Use this when privacy isn’t a concern or you expect the link to be shared.
  - **Anyone invited**: Allows you to invite specific people by email. Use this when you want to restrict access to select individuals.

With the **Anyone with link** setting, you can then **Copy** the link for the call and share it externally.

If you need to regenerate a new web link for a call, for example if the current link was shared somewhere it shouldn't have been, click the arrow next to the URL. This will create a new link and disable the old one.

### Email call recording and details to participants

You can email all call participants with the call summary, chapters, and link to the call with these steps:

- Navigate to **Calls** from the main left-hand sidebar.
- Search for and open the call.
- Click **Share** in the top-right corner.
- Click **Share with participants** to automatically send all call participants an email with a link to the call recording, the call summary, and chapters.

## Download a call recording

To download the video of a recorded call:

- Navigate to **Calls** from the main left-hand sidebar.
- Search for and open the call.
- Click the ⋮ icon in the top-right corner.
- Click **Download video** to save an .mp4 video file of the call.

## Delete a call recording

To delete a call recording from the **Calls** page, from a record page, or when viewing a specific recording, select the ⋮ icon to the right of a recording, then **Delete recording**.

## Calls page: Search, filter, sort, and view settings

When viewing all calls in your workspace from the **Calls** page accessed from the sidebar, you can search, sort, filter, and customize the view.

Use the search bar to search for calls by meeting title.

To change the sort order of calls:

- Click **Sorted by**.
- Choose **Ascending** or **Descending** for the date order.

To filter which calls are shown:

- Click **Filter**.
- Choose to filter by **Record** or **Participant**.
- For **Records**, choose **is** or **is not**, and search for the record. For **Participants**, click **Participant** to filter by a specific user, or **Teams** to filter for all calls involving users on a specific team.
- Click the **X** to remove a filter.

To customize the layout from **View settings**:

- Toggle **Show favorites** on or off to show or hide the **Favorites** section at the top of the page.
- For **Group by**, **Date** is selected by default. Select **None** to remove the grouping.

## Favorite call recordings

From the **Calls** page, click the star icon to the right of a call recording to add it to your favorites. When viewing a specific call recording, select the ⋮ icon and **Add to favorites**. Favorite call recordings show at the top of the **Calls** page under **Favorites**, and in your [sidebar under ](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#favorites)**[Favorites](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#favorites)**.

## Impact of downgrades on call recordings

Attio’s call recorder is available on Pro and Enterprise plans. If you downgrade to Plus or Free, you will lose access to your previously recorded calls. However, they are not deleted, so if you upgrade again in the future, you will regain access to them. [Learn more about plans and pricing](https://attio.com/pricing).

### Why aren't call recordings showing on team members' record pages?

Attio hides emails, calendar events, and call recordings on the record pages of team members who have active Attio accounts. This is designed to protect the privacy of internal communications.
