# Filter and sort views

Learn how to filter and sort your views in Attio.

Filter and sort settings let you narrow and organize data in your table and kanban views. Saving these settings per view allows you to quickly surface different segments of your pipeline or records.

## When to save filter and sort settings

Keep in mind that when you save filter and sort settings, they are applied for all members with access to the view (everyone with [access to the list](https://attio.com/help/reference/managing-your-data/lists/lists-access) for a list view, or all team members for an [all records view](https://attio.com/help/reference/managing-your-data/records/create-and-view-records#view-all-your-records)).

When you make changes to filters or sort settings, you can either:

- Save the filter and sort settings to apply them to the view for your team members going forward, and each time you load the view.
- Or, don't save the filter and sort settings, and the filter and sort settings will revert back to what they were before (the most recently saved filter and sort setting) the next time you load the view. Team members will not see the changes you made.

It usually works best to [create new views](https://attio.com/help/reference/managing-your-data/lists/create-lists) for different filtering goals, and give them descriptive names to match the data shown. If you find yourself applying the same filters regularly, consider keeping a dedicated view just for that subset of your network, and that way you can revisit that filtered data set any time.

## Add filters to a view

Filters allow you to drill down your data and focus on a specific segment of your network. You can stack multiple filters too.

Follow these steps to add filters:

1. Click **Filter **at the top of your view.
2. Select the attribute you want to filter by.
3. Select the conditions for your filter (is, is not, contains, etc.).
4. Choose the value of the attribute to filter by, if applicable.

> **Note:** For attributes that store workspace members (such as Owner or Assignee), you can filter by **Current user** to surface only records or entries where the value matches whoever is currently logged in. This makes views reusable across your team, so each member sees records or entries relevant to them without needing separate views.

- Select the **+** to add another filter condition, or select the ⋮ icon to the right of the condition and select** Convert to advanced condition**. From there you can also [create a filter group](https://attio.com/help/reference/managing-your-data/views/filter-and-sort-views#filter-groups) to nest conditions with 'and/or' modifiers
- To remove a filter condition, select the **⋮** icon to the right of it, then click **Delete filter**.
- Click **Save for everyone** if you want the new filters to be applied to the view going forward for all team members, or select the arrow next to **Save for everyone** and select **Save as new view** to create a new view with the filters you've applied. Click **Discard changes** if you don't want the filters to be applied to the view going forward

### Create filter groups

Combine and nest your filters by creating filter groups, and apply 'and/or' modifiers to your filter conditions.

To group filters, click on the **⋮** icon to the right of a condition followed by **Convert to advanced condition**, then select the **⋮** icon to the right of the condition again and click **Convert to group**. You can then add more filters and toggle **And/Or** for advanced filtering.

#### Choosing between And and Or

When you combine multiple filter conditions, the **And/Or** toggle controls how records are matched across them.

Use **Or** when including records. A record appears in the view if it matches any one of the conditions. For example, to show records where Lead Status is "Prospect" or "Warm Lead":

- Lead Status **is** Prospect
- **Or** Lead Status **is** Warm Lead

Use **And** when excluding records. A record only appears if it meets every condition at the same time. For example, to hide records where Lead Status is not "Prospect" or "Warm Lead":

- Lead Status **is not** Prospect
- **And** Lead Status **is not** Warm Lead

## Sort a view

Sort your view in ascending or descending order based on any of your attributes:

- Select **Sort** at the top of your view
- Choose the attribute you would like to sort by
- Select either **Ascending** or **Descending**
- Click **Save** if you want the new sort to be applied to the view going forward for all team members, or select the arrow next to **Save** and select **Save as new view** to create a new view with the sort you've applied. Click **Discard changes** if you don't want the sort to be applied to the view going forward

To remove a sort setting, click **Sorted by** at the top of the view and select the **X** to the right of the sort. You can add multiple sort settings and reorder them by clicking and dragging the ::: icon next to each one. When more than one sort is applied, records are sorted by the first attribute. If two or more records share the same value for that attribute, the second sort is applied, and so on.

## Filter and sort by attributes linked via relationships

If the records in your view are linked to other records through relationship attributes, you can use those linked attributes to filter or sort your view. This includes both the relationship attribute itself and any attribute from the linked record. For example, if you want to filter a view of people to show team members of companies who are in the SaaS category:

1. Open your **People** view.
2. Click **Filter**.
3. Select **Company**, then **Categories**.
4. For the **condition** select **contains**, then for the **option** select **SAAS**.

## FAQ

### How can I filter to see records in a pipeline stage in a certain date range? 

When you go to add a filter, select the Status attribute you would like to filter for and then select **was**. You will then be able to select the stage and the time boundaries to show a list of the records that were in that stage for certain dates. ⁠ ⁠If you want to specify a date range with **before** a given date and **after** another date, set the first date filter, then use the **[Convert to group](https://attio.com/help/reference/workspace/views#filter-groups)**[ option](https://attio.com/help/reference/workspace/views#filter-groups) to set the second date filter.

### How do I move records from one list view to another?

Technically, all views within the same list will hold the same records (all the records that have been added to the list), but you can change which records are ***shown*** in each view with filters. ⁠ ⁠For example, if you want a view in a Sales list that shows all deals you've won, you can create a new view and apply a filter using your status attribute for **Status **>** is **>** Won**. Filters on views are automatically saved, although anyone with access to a view can change its filters.

### How can I filter records by the lists they are in?

You can use the **List Entries **attribute in filters to show records that are or are not in certain lists. To do this, under **Filter** you'll select the **List Entries** attribute. Then you can either select **contains** and choose specific lists to show all records belonging to those lists, or **not contains** and choose lists to show all records that are not in those lists.
