# View emails and meetings

See where your synced emails and meetings appear in Attio.

After you sync your email and calendar with Attio, you can view emails and meetings on your records. This article explains how emails and meetings appear, how they link to records, and how to interact with them.

## How emails sync into Attio

Attio can sync emails from Gmail and Microsoft 365. When you sync an email account, Attio imports your email history and stays updated with new messages. If you prefer not to sync your email, you can also forward individual emails into Attio. Email visibility depends on your privacy settings. ### **Email drafts in Attio**

Drafts created in Gmail or Microsoft 365 do not sync to Attio. Drafts you created directly in Attio are available from **Emails** in the sidebar.

## View emails in Attio

Emails that sync to Attio, are forwarded into Attio, or are sent from Attio appear on person and company records when they meet the matching rules below.

### Where to view emails in Attio

Attio does not have a traditional inbox page or sent folder. You can view emails with the following steps:

- Open a [record page](https://attio.com/help/reference/managing-your-data/records/create-and-view-records#record-pages) from [workspace search](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#quick-search) or by selecting the record in any view.
- Click the **Emails** tab.

### How Attio links emails to records

Attio links emails to records based on the participants on the email. By default, emails are automatically linked as follows:

- **For person records:** An email appears when a participant’s email address matches an email address on the record.
- **For company records:** An email appears when a participant’s email address has a domain that matches a domain on the company record.
- **For deal records**: An email appears when a participant's email address has a domain that matches a domain on the Associated company record.
- **For user records**: An email appears when a participant's email addresses matches the Primary email address on the user or an email on the linked Person.
- **For workspace records**: An email appears when a participant's email address has a domain that matches a domain on the linked Company.

> **Note:** Admins can customize which emails appear on record pages by configuring Emails tabs and their sources. This is useful if emails you expect to see aren’t included by default, such as emails from team members whose emails don't match a company's domain. Additional rules apply:

- Emails may be hidden when a participant is blocklisted. Learn more in [Keep emails and calendar events private](https://attio.com/help/reference/email-calendar/keep-emails-and-calendar-events-private).
- Removing an email address or domain from a record removes the emails associated with it. Adding the email or domain again restores the emails.

### Email summaries and labels

On the Plus, Pro, and Enterprise plans, Attio automatically provides short summaries of your emails and adds labels that describe the content. You must have [full access to an email](https://attio.com/help/reference/email-calendar/sharing-emails) to see a summary or label.

Labels include:

- Scheduling
- Marketing
- News
- Notifications
- Receipts
- Invoices
- Social
- Hiring

> **Note:** Attio may not always provide a summary or label, for example if the email is very short or there is not sufficient context.

## How meetings are created in Attio

When you [sync your calendar](https://attio.com/help/reference/email-calendar/email-and-calendar-syncing), Attio imports calendar events from Google Calendar or Outlook. Each non-private calendar event creates a meeting in Attio. You can also [add meetings manually](https://attio.com/help/reference/managing-your-data/records/add-record-activities).

## View meetings in Attio

Meetings created from synced calendar events and meetings created manually appear on person and company records when they meet the matching rules below.

### Where to view meetings in Attio

Meetings can be viewed in Attio in the following places:

- Person and company record pages' Overview and Activity** **tabs
- Call recordings
- Quick actions
- Home page

#### **View meetings on record pages**

1. Open a person or company [record page](https://attio.com/help/reference/managing-your-data/records/create-and-view-records#record-pages) either from the [workspace search](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#quick-search) or by clicking their name in any view.
2. Click the **Activity** tab.

#### **View the meeting connected to a call recording**

1. Open a call recording from the **Calls** page or from the **Calls** tab of a record page.
2. Click the **Meetings** tab to view meeting details or update linked records.

#### **View upcoming meetings with Quick actions**

1. Open Quick actions with **cmd or ctrl + k**.
2. Click **View upcoming meetings**.

You will see all your meetings for today and tomorrow, including details such as the date and time, video conferencing link, call recording status, and participants.

#### **View upcoming meetings on the Home page**

1. Click **Home** in the main sidebar.
2. View today's meetings under **Meetings**.

Click the left and right arrows to view your meetings for previous and subsequent days. Click any meeting to show details such as the date and time, video conferencing link, call recording status, and participants. Chat with Ask Attio about the meeting by clicking **Prep meeting** or **Ask Attio**.

### How meetings are linked to records

Meetings connected to synced calendar events are connected to records automatically, and all meetings can be linked to records manually.

#### **Meetings created from calendar events**

Attio links meetings created from calendar events based on the participants on the event.

- **For person records:** A meeting appears when a participant’s email address matches an email address on the record.
- **For company records:** A meeting appears when a participant’s email address has a domain that matches the company domain.

Additional rules for meetings created from calendar events:

- Calendar events marked private in your Google or Outlook Calendar do not show in Attio.
- Meetings may be hidden when a participant is blocklisted. Learn more in [Keep emails and calendar events private](https://attio.com/help/reference/email-calendar/keep-emails-and-calendar-events-private).
- Removing an email address or domain from a record removes the meetings associated with it. Adding the address or domain again restores the meetings.

#### **Manually link records to meetings**

You can link additional records to any meeting, whether it was created manually or from a calendar event. The meeting will show on all linked records.

- Click the **+** next to **Linked records** to add records.
- Hover over a linked record and click the **x** to remove it.

### How meetings are linked to call recordings

Customers on Pro and Enterprise plans can [record video calls](https://attio.com/help/reference/productivity-collaborating/call-intelligence/recording-calls-with-attio) for calendar event meetings that have synced into Attio. Every call recording is linked to the meeting created from the corresponding calendar event. Call recordings cannot exist independently from meetings.

## FAQ

### Why aren’t my emails showing up? Some emails seem to be missing in Attio.

If you're not seeing certain emails in Attio, follow these steps to troubleshoot:

**1. Check if your email sync is active**

Go to your **[Email and calendar accounts](https://app.attio.com/_/settings/email-and-calendar-accounts)**** **in **Account settings** and confirm your mailbox shows "In sync".

If it shows as disconnected or says Attio does not have adequate permissions, [follow these steps to reconnect your mailbox](https://attio.com/help/reference/email-calendar/email-and-calendar-syncing#reconnect-a-synced-account).

**2. Email sync is active, and the email is missing from a person record**

Check the following:

- Does the email include an address that matches one listed on the person’s record? With default settings, emails will only appear if there's a matching email address on the record.
- Has anyone in the email thread been blocklisted? If any participant’s email address or domain is blocklisted, it can hide the email. [Learn more about blocklisting](https://attio.com/help/reference/email-calendar/keep-emails-and-calendar-events-private#blocklist-emails-and-domains).

**3. Email sync is active, and the email is missing from a company record**

Consider the following:

- With default settings, emails will only appear on a company record if at least one participant has an email domain that matches the company's domain. Even if you've manually linked a person to the company, their emails will not show unless their domain matches. To ensure all team members' emails show on companies regardless of their email domains, admins can add Team > Email addresses as an additional source for the Emails tab on companies by [following these steps](https://attio.com/help/reference/managing-your-data/records/configure-record-pages#manage-emails-tabs).
- Blocklisting also applies here. If a participant is blocklisted, the email may not appear. [Learn more about blocklisting](https://attio.com/help/reference/email-calendar/keep-emails-and-calendar-events-private#blocklist-emails-and-domains).

**4. If you are using email forwarding instead of sync**

Keep in mind:

- Emails forwarded to Attio will only appear on the records of participants included in the most recent message of the forwarded thread. If someone forwards you a message and you then forward that into Attio, it will be added to the record of the person who forwarded it to you, not the original sender.
- You must forward emails from the same email address you use to log into Attio. Emails forwarded from other addresses will not appear.

### Do I need to keep someone's old email address on their record in order for those emails to remain in Attio?

Yes. Attio only displays emails that match the addresses listed in the record's email addresses attribute. If you remove an email address from a record, any emails associated with that address will also be removed from view.

### Why isn’t a calendar event showing on a record page?

Calendar events will not sync to Attio if they are marked as private in your Google or Outlook calendar.

If the event is not private and is still missing from a person record, confirm which email address was invited to the event. The invited address must match the email saved on that person’s record in Attio.

If the event is not private and is missing from a company record, check the participant list. At least one invited email address must use a domain that matches the domain stored on the company’s record.

Events may also be hidden if a participant has been [added to a blocklist](https://attio.com/help/reference/email-calendar/keep-emails-and-calendar-events-private#blocklist-emails-and-domains).

### Can I search for emails or meetings by keyword across the workspace?

Attio’s [workspace search](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#quick-search) supports searching your records by name, email, domain, phone number, or ID (for standard objects). You can also search by keywords contained in descriptions, social media handles, and location attributes, but it does not search the contents of emails or meetings.
