# Manage legacy workflows

## Manage access to workflows (Legacy)

Workflow access determines what members can see and do with your workflow.

### Who can manage access to workflows?

Only workspace admins and list members with Full access to the workflow can manage workflow access. If you are not an admin and do not have Full access, you will not be able to change these settings. You can still view who has Full access or [check your list of admins](https://attio.com/help/reference/workspace-settings-billing/manage-members-and-admins#view-workspace-admins-and-members-(for-non-admins)) and contact them if updates are needed.

The options you have for customizing access will depend on your Attio plan. Managing workflow access is not available on the Free plan. [Learn more about Attio's plans](https://attio.com/pricing).

### Set workspace, team, and member access to a workflow (Legacy)

Follow these steps to configure workflow access permissions:

1. Open the workflow and click **Share**.
2. To set a workspace-wide default, use the dropdown next to **Workspace access**.

   - Workspace access is the default for all members. Team and member settings can only grant access above this default.

3. To set team or individual member access (available on Pro and Enterprise plans), add teams or members and choose their access from the dropdown next to the name, then click **Add**.

- Team and member access settings can only grant additional access beyond the workspace default; they cannot reduce it. Even if a member is assigned a more restrictive access level than the workspace default, the workspace default applies.

### Workflow access levels explained (Legacy)

These are the access levels for workflows:

- **Full access** members can modify access, edit, and publish workflows.
- **Read and write** members can edit and publish workflows.
- **Read only** members can only view workflows.
- **No access** means the workflow is not visible.

### How workflow access levels interact (Legacy)

As a best practice, set the workspace access setting to the lowest level of access anyone in the workspace should have. Then use team and member access settings to grant additional access to the people who need it.

A member's access is based on the most permissive setting that applies to them across the workspace access setting, any teams they're part of, and any member access settings. More specific settings can only grant additional access, but they cannot reduce access below the workspace default. This means that No access settings for individual members or teams have no effect if workspace access grants a more permissive level.

For example, if workspace access is set to Full access and a member is assigned No access, they will still have Full access. If workspace access is set to Read only and one of a member's teams is assigned Read and write access, they will have Read and write access.

## View workflows (Legacy)

You can view workflows in your workspace by navigating to **Workflows** from the sidebar. Click the search icon in the upper-right to search by name for a specific workflow.

### Sort and filter workflows (Legacy)

Filter and sort settings are unique to you, so changes you make will not affect your team members' views. To customize the sort, click **Sorted by** and choose one of the following options:

- Creation date
- Last published
- Number of runs
- Name
- Last failed run

You can also select **Filter** and set conditions and a user to show workflows created by or not created by a specific user or team.

### View settings (Legacy)

Under **View settings**, you can **Group by **any of the following options:

- Creation date
- Status
- Last published
- Creator
- Trigger

To enable or disable a view of all workflows that have been added to your favorites at the top of the **Workflows** page:

1. Click **View settings**.
2. Select the toggle next to **Show favorites**.

To add a workflow to your favorites, click the star icon to its right. Favorite workflows show at the top of the **Workflows** page under **Favorites**, and in your [sidebar under ](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#favorites)**[Favorites](https://attio.com/help/reference/productivity-collaborating/navigating-your-workspace#favorites)**. From **View settings**, you can also click the toggle next to **Show archived** to enable or disable archived workflows from showing in your view.

## Archive, restore, and delete workflows (Legacy)

If you created a workflow, have Full access to a workflow, or Read and write access you can archive, restore, and delete the workflow.

To archive a workflow:

1. Click the **⋮** icon to the right of a workflow on the **Workflows** page.
2. Click **Archive workflow**.

Archiving a workflow also pauses the workflow.

To restore a previously archived workflow:

1. Go to **View settings.**
2. Ensure **Show archived** is toggled on so you can see the archived workflows.
3. Find the workflow you want to restore, click the **⋮** icon to the right of it, and click **Restore workflow**.

Restoring a workflow will not automatically set the workflow live again. It will remain paused until you publish it.

To delete a workflow:

1. Clicking the ⋮ icon to the right of the workflow.
2. Click **Delete workflow**.
3. Confirm that you want to delete the workflow.

This will immediately cancel all ongoing runs and cannot be undone. Workflows that have been run cannot be deleted; they can only be archived.

## Admin settings for workflows (Legacy)

All admins can see all workflows that exist in Workspace settings. In addition to managing access to workflows, admins can also pause, archive and duplicate workflows.

There are a few places admins can access workflow settings:

- When viewing a workflow, click the **⋮** icon in the top right corner of the workflow, and select **Workflow settings** from the dropdown.
- From the **Workflows** page, click the **⋮** icon to the right of any workflow and select **Workflow settings**.
- Or, navigate from Workspace settings by clicking your workspace name in the upper-left corner of your workspace, then navigate to **Workspace settings**, then scroll down and select **Workflows** on the left-hand side, and select the workflow.

On the **Permissions** tab you can manage access to the workflow for your workspace and for individual members.

## Manage workflow credits quota and notifications (Legacy)

⁠You can set a quota for the workflow and manage notifications about failed workflow runs by navigating to a workflow and opening the **Settings** tab.

A workflow run will stop if the maximum credits quota is reached. The default quota is 50 credits used per run, but you can customize this number.

Here you can also disable or enable email notifications for the workflow. By default, you will be notified via email about failed workflow runs for workflows you create. You'll receive at most one email notification per day for each unique reason a run has failed for the workflow. Click the toggle to enable or disable email notifications for the workflow.

## FAQ

### What happens to a workflow if the user who created it is suspended?

The workflow will remain unchanged. If it was active, it will remain active, and you will still be able to see the name of the user who created the workflow even though they are suspended.
