# PandaDoc app

Create, send, and track PandaDoc documents from Attio.

> Available on all plans.
>
> **Admins** can install the PandaDoc app.  
> Once installed, **all members** can use it.
>
> To connect Attio with PandaDoc, you’ll need a PandaDoc Business plan. The app is available on all Attio plans.

Use the PandaDoc app to create and track documents from Attio records, and trigger workflows when a PandaDoc document changes status. You can create documents from Deal, Person, and custom object records using PandaDoc templates prefilled with record data, then track each document from the record where it is linked.

## Install the PandaDoc app

To set up the PandaDoc app, you must be a workspace admin. Here’s how to get started:

1. Click your workspace name, then **Apps and integrations**.
2. Open the **PandaDoc** app and click **Install**.

## Connect PandaDoc to Attio

The PandaDoc app uses two types of connections:

- **Workspace connection:** An admin connects PandaDoc to the workspace using an API key. This connection is required to use PandaDoc workflow triggers.
- **Member connection:** Each workspace member connects their own PandaDoc account to create and view documents from Attio records.

Each connection must be set up separately.

### Set up the workspace connection

You must be a workspace admin to set up the workspace connection.

1. In PandaDoc, create an API key:

   - Go to **Settings** *→* **API and Integrations** *→* **API**.
   - Enable API and Webhooks.
   - Generate your API key from the developer dashboard.
2. In Attio, click your workspace name, then **Apps and integrations**.
3. Open the **PandaDoc** app.
4. Click **Connect**, then enter your PandaDoc API key.

### Connect your PandaDoc account

Each workspace member who wants to create or view PandaDoc documents from Attio must connect their own account.

1. Click your workspace name, then **Apps and integrations**.
2. Open the **PandaDoc** app.
3. Under **Member connections**, click **Connect**.
4. Sign in to PandaDoc if prompted, then click **Authorize**.

Your connection shows as **Connected** when setup is complete.

## Choose where documents open

By default, you create and edit PandaDoc documents in an embedded builder inside Attio. Admins can turn on **Open documents in new tab** so documents open in PandaDoc instead. Turn this on if your templates include steps the embedded builder can't run, such as collecting a payment with Quote Builder.

- Click your workspace name, then **Apps and integrations**.
- Open the **PandaDoc** app.
- Click the **Settings** tab.
- Under **Document builder**, turn on **Open documents in new tab**.

The setting saves automatically and applies to everyone in the workspace.

## **Create a PandaDoc document from an Attio record**

To create a new PandaDoc document, first open a person, deal, or custom object record page. The option is not available for companies.

> **Note**: To create a PandaDoc document from a person record, the person must have a first name, last name, and email address. If any of these are missing, you’ll need to add them to the record before creating the document.

- Press `command`/`control` + `k` to open Quick actions, and search for **Create document**. You can also open the record and select **Create document** from the record actions menu.

> **Note:** If the PandaDoc editor does not open, enable third party cookies in your browser.

- Choose a template or start with a blank document.

- On the **Add document recipients** step, your email will be set as the sender. Attio will suggest recipients based on the type of record:

  - **Deal**: Any people linked to the deal, plus the deal owner.
  - **Person**: Add the recipient's email address yourself on this step.
  - **Custom object**: Any people linked to the record through a relationship attribute.

### Use variables with Attio attributes

Use the PandaDoc editor to customize the document. Type `[` or open **Variables** in the right sidebar to insert data from Attio attributes for the person record, deal record, people associated to the deal, or associated custom objects.

> **Note: **Attributes from Attio are automatically mapped to PandaDoc fields where possible. If any fields already contain data in PandaDoc, they will be overwritten with the corresponding values from Attio.

The Attio attributes that are available for use in PandaDoc variables are:

- **People object**: First name, Last name, Company name, Email address, First phone number, City, State, Country, and Postcode
- **Deals object:** All system attributes, and custom attributes with these types: Text, Number, Currency, Phone number, User, Date, Timestamp, and Record and Relationship attributes that only support single values
- **Custom objects: **Attributes with these types: Text, Number, Currency, Select, Phone number, User, Date, Timestamp, and Record and Relationship attributes that only support single values

## **View PandaDoc documents from a record**

You can view PandaDoc documents linked to person and deal records in Attio. This option is not available for companies.

How a document links to a record depends on the record type:

- **Deal records:** Any document created from the deal appears on that deal.
- **People records:** A document appears on a person only when that person's email address is listed on the document as a **Recipient**, **Collaborator**, or **Approver**. To check, open the document in PandaDoc and navigate to `File > Roles`.
- **Custom objects:** Any document created from the custom object record appears on that record.

> **Note:** Recipients are not filled in automatically. Creating a document from a person's record does not add that person as a recipient, so add their email address during the **Add document recipients** step for the document to appear on their record.

To view PandaDoc documents:

1. Open the person, deal, or custom object record page in Attio.
2. Press `command`/`control` + `k` to open Quick actions, and search for **View documents**. You can also open the record and select **View documents** from the record actions menu

3. You’ll see:

- The names of all PandaDoc documents associated with the person’s email address
- The current status of each document, such as **Draft**, **Suggest edits**, **Waiting for payment**, **Completed**, **Sent**, **Viewed**, **Voided**, or **Declined**

4. Click a document in the list and **Open document**.

## **Add PandaDoc app widget to records**

Add the PandaDoc widget to Deal, Person, and custom object record pages to see linked documents at a glance. The widget shows the most recent document's name and status, plus a count when additional documents are linked. If no documents are linked, it shows "No documents." Click the widget to open the same view as **View documents**.

## Trigger a workflow when a document's status changes

Use the **Document status changed** trigger to start a workflow when a PandaDoc document moves into a selected status. For example, you could update a deal stage automatically when a contract is completed. This trigger uses the workspace PandaDoc connection.

#### **Inputs**

- **Status:** The document status that starts the workflow. Choose one of **Completed**, **Viewed**, **Declined**, **Sent**, or **Voided**.
- **Template (optional):** Limit the trigger to documents created from a specific template. The list of templates comes from your connected PandaDoc workspace. Leave this empty to match documents from any template.

#### **Outputs**

- **Document ID**
- **Document name**
- **Recipient emails**
- **Date completed** (when available)
- **Date modified** (when available)
- **Deal ID** (when available)
- **Custom object slug** (when available)
- **Custom object record ID** (when available)

## FAQ

### Why isn't my PandaDoc document showing on a person's record?

A document appears on a person's record only when that person's email address is listed on the document as a **Recipient**, **Collaborator**, or **Approver**. Open the document in PandaDoc and navigate to `File > Roles` to check all three. Creating the document from that person's record is not enough on its own, because recipients are not added automatically.

If the email address isn't listed anywhere, add it as a recipient in PandaDoc and check the record again.

### Why isn't my PandaDoc document showing on a deal record?

Documents appear on a deal only when they were created from that deal in Attio. Documents created directly in PandaDoc don't link to deals, even when a recipient email matches someone in **Associated people**.

If you created the document from the deal and it still isn't showing, confirm the document reached the **Review content** step. Closing the editor before then means no draft was saved.

### Can I link an existing PandaDoc document to an Attio record?

Not from within Attio. You can't search PandaDoc documents from Attio, and there's no way to link a document to a record manually.

Documents created directly in PandaDoc link automatically to people records when a recipient, collaborator, or approver email matches a person's email address. Linking an existing document to a deal record requires the [PandaDoc API](https://developers.pandadoc.com/).
