Guide: The Basics

Welcome to Attio! Whether you're tracking deals, managing your fundraising pipeline, or trying to stay on top of your network - you can build out the perfect workflow in Attio.

There are a lot of things you can do in Attio but this article will focus on how to get started managing your contacts and building out your workflows in collections.

The Basics

  • A contact is an individual or a company in your network. Contacts are either synced from your email or manually created by you and your team
  • A collection is a database of Contacts specific to a workflow and all the relevant data you track around it
  • A workflow is a process surrounding a group of contacts like a sales or recruiting pipeline

Contacts

Syncing your Contacts

Attio syncs with your email, pulls in your contacts, and enriches your data around them. This unlocks a powerful shared network for your team.

  • Contacts are shared and visible to every member of your workspace
  • There are two types of contacts in Attio, person and company
  • Find any contact quickly with our powerful search tool.

*Alternatively, you can opt out of email syncing, import your contacts manually, and forward in relevant emails as needed.

Contact Pages

Contact pages host all of the relevant data around a single contact (company or person) on one page.

  • Up top combined communication intelligence data, like last contacted and connection strength, is surfaced for each contact through email syncing. That data is shared with your team and actionable in your workflows
  • Just below you'll find tabs for notes, tasks, files, and an activity feed to summarize it all
  • You'll also find a shared inbox with all the emails that a contact has across your team in one place
  • To the left shared collection data is also displayed, broken down by entry

Collections

A collection is a database of contacts specific to a workflow and all the relevant data you track about them.

Importing your data

There are a few different ways to get started on a new collection and everything can be customized to fit your workflow.

  • Import your data from a previous solution or spreadsheet and configure the collection based on your file
  • Choose a template from a selection of Attio's most common use cases as a starting point, populate and customize it as you go
  • Start from scratch and add contacts and attributes as you build out your workflow

Entries

An entry is an individual item in a collection, it can be used to represent a Deal, Opportunity, Candidate Application, etc.

  • Entries are tied to a contact, company or person, depending on your workflow
  • Entries are represented as a line on a table view or a card on a kanban view

In this example, an entry represents a candidate in our recruiting collection.

  • You can add entries on tables, pipelines, or contact pages and by using quick actions

Pro tip: Use the keyboard shortcut e anywhere in Attio to create a new entry.

Attributes

Attributes represent the additional information you want to track about each entry in a collection.

  • Each attribute represents a different datapoint that you are tracking about an entry
  • You can choose from different types of custom attributes such as status, multi-select, and rating fields
  • Combine your attributes with enriched data like last contacted, connection strength, and location information to enhance your workflow

In this example, I'm creating two attributes to track for candidates on my recruiting pipeline.

  • A status attribute to know where each candidate is in the hiring process and four different stages for my pipeline: Applied, Contacted, Offered and Rejected
  • A rating attribute where my team can score each candidate after their interview

Pro tip: set default values for your attributes to save time on data entry.

Views

Views allow you to filter entries the data displayed for the task at hand. You can create as many views as necessary to bring clarity to different pieces of your workflow.

  • Views are shared with every member that has access to the collection they belong to
  • Table views allow you to work in a familiar spreadsheet style
  • Kanban views display your workflow based on the status of each of your entries on a pipeline
  • You can filter and sort your entries by any custom or smart attribute to build a view
  • Rename, save, and pin views so you can come back to them at any time

In this example, I've created a personal kanban view in our sales collection.

  • I've applied the filter owner as Abinet Berhanu (me) to see only my deals on the pipeline
  • I've added two important attributes to my display: the projected close date and the close confidence rating of each entry
  • I've sorted my view by close confidence so I can see our strongest deals at the top of the list
  • I've renamed the view 'Abi's Deals' and pinned it to my sidebar so that I can come back any time and review which of my deals are in trial

The data in my view is updated in real-time as new entries enter the pipeline and attribute values are updated.
